Why bookings belong in WhatsApp
Many South African practices, workshops and agencies still book by phone. The line is busy at 8am, the receptionist writes the slot into a diary or a practice system, and the reminder is an SMS the customer can't reply to. When someone can't make it, they usually don't phone to cancel. They just don't arrive, and the slot is lost.
Your customers already have WhatsApp open. A booking in the chat lets them choose a time when it suits them, including after hours, and every reminder gives them a one-tap way to confirm, move or cancel. That turns a silent no-show into a message you can act on: a freed slot you can offer to someone else.
We don't put a number on how many no-shows this saves. It depends on your customers, how far ahead they book and your cancellation policy. What you do get is a clear list of who confirmed and who didn't.
How it works, step by step
This is the clinic version. The steps are the same for other industries; only the questions and the system behind them change.
- The customer starts the chatThey tap a WhatsApp link on your website, Google Business Profile or appointment card. The link can carry a reference, such as the branch or a listing, so the chat knows where they came from.
- They choose what, where and whenA WhatsApp Flow (a short form inside the chat) asks for the service and branch, then shows open slots loaded live from your diary at the moment they open it, so they only see times that were free then.
- The booking is written to your systemOnce they submit, the appointment is created in your practice or booking system through its API, or in our bookings module. The chat replies with a confirmation: what, where, when.
- A deposit, if you need oneFor consultations or no-show-prone services, the next message carries a Paystack or Yoco payment link. The booking is confirmed when the payment is. See payment collection.
- Reminders with buttonsA reminder goes out before the visit, for example 24 hours and 1 hour before, with Confirm, Reschedule and Cancel buttons. You choose the timing.
- Move or cancel in the chatReschedule shows open slots again and moves the booking. Cancel frees the slot in your system. If the customer types a question instead, it lands in the shared inbox and your team answers. A staff reply pauses the automation so the bot doesn't talk over them.
- After the visitAn optional short question about the visit, with low scores sent to a manager. See feedback and surveys.
Variants by industry
These are common patterns in the South African market, not Euphony clients. Each is a build on our platform.
Clinics, dentists and practices
A patient taps the WhatsApp link on the practice website. The Flow asks for the service (check-up, consultation, follow-up), the branch and a live slot from the practice diary. They get a confirmation, reminders 24 hours and 1 hour before, and a payment link for a consultation deposit where the practice asks for one. After the visit, one short feedback question. The booking lives in your practice management system if it has an API, or in our bookings module if it doesn't.
Car dealerships and workshops: service bookings
Your dealer management system (DMS) knows when a vehicle is due for a service. It triggers a service-due template with a Book button. The customer taps it, sees their service-plan or warranty status pulled from the DMS, and picks a workshop slot. They get a confirmation and a reminder the day before, and can move the slot from the reminder. This needs your DMS to expose service dates, plan status and workshop slots through an API.
Dealerships: test drives after a stock lookup
A buyer asks for a model, year and area. The chat checks your stock system, lists matching vehicles and the nearest branch, and offers a test-drive slot. Confirmation, directions and a reminder follow. Sales staff see the conversation in the shared inbox and can take over.
Estate agents: property viewings
The WhatsApp link on a listing carries the listing reference, so the reply comes straight back with the price, photos and available viewing times. The chat asks about budget, timeline and finance, the buyer picks a viewing slot, and the lead and answers are posted to your CRM. Assigning the lead to a specific agent happens in your CRM; our inbox doesn't route chats to named agents. See lead capture into your CRM.
Systems it connects to
| System | What it does here | How |
|---|---|---|
| Our bookings module | Bookable items, availability rules, blockouts, and confirmation, reminder and cancellation templates | Runs on our platform. It was built for restaurant tables, so for clinics and workshops we set it up around your services, branches and hours |
| Practice management system | Live slots in, bookings, moves and cancellations out | Custom build: we connect WhatsApp to it via its API |
| Dealer management system (DMS) | Service-due triggers, service-plan status, workshop slots, stock lookups | Custom build via its API |
| Your calendar or your own software | Free and busy times, new bookings | Custom build over HTTP. We don't offer a ready-made calendar connector. See your own software |
| CRM | Viewing and test-drive leads | Custom build, for example HubSpot or Zoho |
| Paystack, Yoco | Deposits and consultation fees by payment link | Runs on our platform |
If your system has no API, the bookings module is usually the simpler route, and your team works from its list of bookings.
Message categories and what Meta charges
Meta charges per delivered message, by category. A booking flow uses two of them. Meta bills you directly in US dollars, and we add nothing to Meta's rates.
| Message | Category | Meta's SA rate from 1 Oct 2026 |
|---|---|---|
| Replies while the customer is chatting: the booking Flow, slots, confirmation, answers | Service (inside the 24-hour customer service window) | First 1,000 per number per month free, then US$0.0095 |
| Reminders sent later, service-due messages, cancellation notices | Utility template | US$0.0095 |
| Anything promotional, such as an offer added to a reminder | Marketing template | US$0.0379 |
The 24-hour window opens each time the customer messages you. While it's open you can reply freely; outside it, you can only send an approved template. A reminder sent the day before is usually outside the window, so it goes as a utility template. Since 1 October 2026, Meta also charges for utility templates sent inside an open window.
Meta checks a template's category when it reviews it. A reminder is utility only if it's about the customer's own booking and has no promotional content. Meta's guidelines say utility templates must not promote, upsell or include offers. Add a special offer and Meta can class the template as marketing, at about four times the price, and Meta can also change a template's category after approval. A service-due message that also pushes extras or discounts fails the same test, so we write these templates plainly.
A practice with 400 appointments a month sends two reminders per appointment as utility templates: 800 × US$0.0095 = US$7.60 a month in Meta fees. The booking chats themselves fall inside the 1,000 free service messages per number if volumes stay below that. Your own volumes will differ. Meta's volume tiers lower the South African utility rate only above 100,000 utility messages a month.

Things to know before you start
- Messaging limits. Reminders sent outside the 24-hour window count towards Meta's messaging limit: how many unique customers you can reach outside the window in a moving 24-hour period. New business portfolios start at 250. Verifying your business with Meta is one way to move up to 2,000. See WhatsApp messaging limits.
- Opt-in. Meta requires you to have a customer's number and their opt-in, their agreement to receive messages from your business, before you message them on WhatsApp. We can ask for it in the booking chat, or you can add it to your booking form or patient intake sheet.
- Your number. The number moves to the WhatsApp Business API and leaves the WhatsApp Business app. We don't run both on one number.
- Changes go through us. Our engineers write and change the booking flow and templates. You see bookings and conversations in the dashboard and ask us for changes on WhatsApp.
