Custom build

How we connect WhatsApp to Zoho CRM

We build the link between your WhatsApp account and your Zoho CRM: enquiries from the chat become Leads with the conversation attached, and changes in Zoho send the right WhatsApp message to the customer. It's built for your modules, fields and sales stages, not a one-size plug-in.

Yes, WhatsApp can be connected to Zoho CRM, and we build it as a custom integration. Our platform talks to Zoho through the Zoho CRM REST API to create and update Leads, Contacts, Notes and Deals, and Zoho workflow rules call our webhooks to send WhatsApp messages. Your WhatsApp account stays in your name, and Meta bills you directly.

Zoho's own WhatsApp channel, or a custom build?

Zoho CRM has its own WhatsApp business messaging channel, under Setup, Channels, Business Messaging. Zoho says it works in the free trial and all paid editions, and it lets your team send and receive WhatsApp messages from inside Zoho. If that's all you need, start there.

A custom build makes sense when the conversation has to do work before anything reaches Zoho: ask qualifying questions, open a form, check stock or slots in another system, take a deposit, or sort messages with AI.

From WhatsApp into Zoho

When a customer messages you, a conversation program on our platform handles the chat and calls Zoho's API at the points you choose. Typical flows:

  • New enquiry to Lead. We look the mobile number up in Zoho. If there's no match, we create a Lead with the source set to WhatsApp and the details the customer gave. If there is, we update the existing Lead or Contact instead of making a duplicate.
  • Conversation to Note. A summary of the chat, or the full transcript, goes onto the record as a Note, so the salesperson sees it before they call.
  • Qualifying answers to fields. Budget, area, product, preferred time: answers from buttons, lists or a Flow go into the matching Zoho fields, including custom fields.
  • Deal stage changes. "Yes, I accept the quote" in the chat can move a Deal to the next stage, or create a Task for the owner.
  • Voice notes to text. Voice notes can be transcribed (South African languages supported) and saved as text, so nobody has to listen through them. See voice-note transcription.

From Zoho out to WhatsApp

Zoho CRM workflow rules can call a webhook when a record is created or changes. We point that webhook at a secured endpoint on our platform, and it sends the WhatsApp message. Typical flows:

  • Instant first reply to a web-form Lead, with buttons to pick a call-back time.
  • Quote ready when a Deal reaches the quote stage, with a link to the quote and a button to accept.
  • Meeting or viewing reminders from Meetings or Tasks in Zoho CRM, with confirm and reschedule buttons.
  • Deposit request when a Deal is won, with a Paystack or Yoco link. When it's paid, we update the Deal.
  • Renewal and follow-up nudges from a date field, such as a policy or contract end date.

If the customer hasn't messaged you in the last 24 hours, Meta only allows an approved message template. We write the templates with you, submit them to Meta, and use the right category for each: reminders and updates are usually utility, offers are marketing.

What a WhatsApp and Zoho build looks like

Each one is a custom build. The names and numbers in these cards are examples, not client results.

How the build works

Codeswop is a Meta Tech Provider. You connect your own WhatsApp account through Meta's Embedded Signup, so the number, templates and message billing stay in your name. Then our engineers build the Zoho side.

  1. Map your Zoho setupWe go through the modules you use (Leads, Contacts, Deals, Meetings, Tasks or custom modules), the fields that matter, your stages and your assignment rules. We agree which events in the chat write to Zoho, and which events in Zoho send a WhatsApp message.
  2. Connect with OAuth 2.0Zoho CRM's API uses OAuth 2.0. A Zoho admin approves access for only the scopes the build needs. Zoho's access tokens last an hour, so the build renews them with a refresh token, and you can revoke access from Zoho at any time. We also check which Zoho data centre your account sits on, because each one has its own API domain.
  3. Build the WhatsApp to Zoho sideWe write the conversation program for your process. At each step it calls the Zoho CRM API: search by mobile number, insert or update the record, add a Note, move a Deal. We match on phone number first so repeat customers don't create duplicates.
  4. Build the Zoho to WhatsApp sideIn your Zoho workflow rules we add webhooks that call a secured endpoint on our platform, with a key sent in the request header. The webhook carries the record details we need, and our platform sends the matching WhatsApp template or message.
  5. Stay inside Zoho's API limitsZoho counts API usage in credits over a rolling 24 hours, and the allowance depends on your edition and number of users. For example, Standard gets 50,000 credits plus 250 per user licence, up to 100,000, and inserting or updating records costs 1 credit per 10 records. We check your edition and count the API calls each flow makes against your allowance before launch.
  6. Test, launch and look after itWe test with a sandbox or test records, including what happens when Zoho is slow or a field is renamed, then go live. Changes to the flow come through us; you ask on WhatsApp.

What this isn't

It isn't a Zoho Marketplace extension or a one-click connector. Each Zoho integration is engineered for one client's setup, and there's no do-it-yourself builder. Our shared inbox lets your team take over any chat, which pauses the automation, but it doesn't assign chats to specific agents. Zoho's own assignment rules still decide who owns each Lead.

What you need to provide

  • A Zoho CRM admin to approve API access and to add the workflow webhooks with us. Webhooks need the Manage Workflow permission, and workflow features vary by Zoho edition: Zoho's webhook help gives limits for Professional, Enterprise and Ultimate, so on another edition we check first (Zoho's feature availability).
  • Your field map: which modules and fields to fill, your stages, and which changes should send a message.
  • A WhatsApp number that isn't on the WhatsApp Business app or Zoho's WhatsApp channel, connected through Meta's Embedded Signup.
  • A Meta business portfolio with a payment method on your WhatsApp account, because Meta bills you directly. Meta asks for business verification before it raises your messaging limits, and you do the verification yourself; we can coach you through Meta business verification.
  • The wording for your message templates, which we shape and submit to Meta for approval.

What it costs

There are two parts, billed separately.

  • Meta's charge. Meta charges per delivered message, by category. From 1 October 2026, a marketing message to a South African number costs US$0.0379, and a utility, authentication or service message costs US$0.0095. Each number gets its first 1,000 service messages a month free, and messages from customers to you are free. Free-form replies inside an open 24-hour window are service messages. Templates are charged by their category, even inside the window, and Zoho-triggered reminders and updates are usually utility templates. Meta bills you directly, and we add nothing.
  • Our charge. A one-off build from R15,000 ex VAT, plus R7,500 per integration, depending on how many flows and modules are involved, and a monthly fee from R4,950 ex VAT to run and look after it.
  • Zoho's charge. Your Zoho CRM subscription stays with Zoho. The integration uses API credits from your existing allowance.

Questions

WhatsApp and Zoho CRM FAQ

Doesn't Zoho CRM already have WhatsApp built in?

Yes. Zoho CRM has its own WhatsApp business messaging channel, and Zoho says it's available in the free trial and all paid editions. It suits teams that want to send and receive WhatsApp messages from inside Zoho. A custom build suits teams that need the conversation itself to do work: qualify a lead, run a WhatsApp Flow, send a payment link, or use Claude to sort messages, before the result lands in Zoho.

Is this a Zoho Marketplace extension?

No. It's a custom build. Our engineers connect your WhatsApp account to your Zoho CRM through Zoho's REST API and Zoho workflow webhooks, mapped to your own modules and fields.

Can Zoho send WhatsApp messages automatically?

Yes. A Zoho workflow rule calls a webhook on our platform when a record changes, and we send the WhatsApp message. If the customer hasn't messaged you in the last 24 hours, Meta requires an approved message template. From 1 October 2026 a utility template to a South African number costs US$0.0095 and a marketing template US$0.0379, billed by Meta directly.

Can we use Zoho's WhatsApp channel and Euphony on the same number?

Plan on one tool per number. Zoho's help page says its WhatsApp channel only accepts phone numbers that aren't used on other products. If you want both, use a separate number for each.

Do you need our Zoho password?

No. Zoho CRM uses OAuth 2.0. A Zoho admin approves access for the specific scopes the build needs, and can revoke it at any time from Zoho.

Does it work with Bigin, Zoho Desk or Zoho Books?

These are separate Zoho products with their own APIs, so we scope them as separate pieces of work. This page covers Zoho CRM. If you run support in a helpdesk, see Zendesk and Freshdesk for the same pattern.

What does a WhatsApp and Zoho integration cost?

There are two separate bills. Meta charges per delivered message at its published rates and bills you directly; we add nothing to that. We charge a one-off build fee from R15,000 ex VAT, plus R7,500 per integration, and a monthly fee from R4,950 ex VAT to run and look after it.
